1. Purpose
This policy explains how refund requests are reviewed for digital services delivered by AlgorithmOptix IT. A signed proposal, invoice, or written agreement may contain project-specific terms that take priority.
2. Before work begins
If a client requests cancellation before work has started, AlgorithmOptix IT will review whether a refund can be issued after deducting non-recoverable transaction charges, purchased assets, software, bookings, or third-party costs already committed for the project.
3. After work begins
Completed work, delivered files, audits, research, strategy, setup, meetings, consultation time, and approved milestones are not refundable. For an incomplete project, any possible refund is based on the undelivered portion of the agreed scope after completed work and non-recoverable costs are deducted.
4. Non-refundable items
- Advertising spend paid to Google, Meta, or another platform
- Domains, hosting, software, APIs, premium tools, licences, stock assets, and subscriptions
- Third-party contractor or vendor fees already incurred
- Completed audits, strategies, reports, designs, code, content, setup, or consulting
- Emergency, rush, or reserved production time already used
5. Results are not a refund condition
A refund is not automatically available because expected rankings, traffic, leads, sales, advertising performance, platform approval, or business outcomes were not achieved. These outcomes cannot be guaranteed and depend on factors outside the service provider's control.
6. How to request a review
Email info@algorithmoptix-it.xyz with the client name, invoice or project reference, reason for the request, and relevant evidence. Requests are reviewed against the written scope, work completed, costs incurred, and communications.
7. Approved refunds
If a refund is approved, the amount, method, and expected processing time will be confirmed in writing. Banks and payment processors may require additional time after AlgorithmOptix IT releases the payment.
8. Chargebacks
Clients should contact AlgorithmOptix IT first to resolve a billing concern. Fraudulent or unsupported chargebacks may be disputed with the payment processor using the accepted proposal, invoice, delivery records, and communications.
